Fan Fiction Archive Policies- This is a simple outline of my policies regarding what will
and will not be archived and on possible issues that might come up. Any questions,
complaints, or suggestions may be e-mailed to me.
1. I am currently accepting submissions in three ways
2. Almost all stories submitted to the list or sent to me by members of the list that are
Voltron related will automatically be considered "submissible" for archiving.
3. Stories that will not be considered "submissible" to the archive under ANY
circumstances are stories that violate my hosting provider's Acceptable Use Policy. I
have discussed the content of the archive with my provider and the material posted in the
archive to this date is not in violation of their Policy. What would be considered a
violation are stories that are clearly pornographic in that the sexual material presented is
not related to Voltron or its characters. In other words, it's just a sex story written for the
sake of writing about sex and the author obviously cares nothing for the characters
themselves.
4. The speed in which your story is archived is dependent upon the amount of work I
must spend in formatting the story, gaining permission to archive the story, and obtaining
any other required info needed for placement in the Archive. If I need to address any of
these three items in detail, then there is no guarantee that the story will be archived in a
timely manner.
5. I do guarantee to make every effort possible in assisting authors whose stories do not
meet the requirements. Stories that are never placed in the archive most likely violate the
Acceptable Use Policy or never managed to meet the requirements, which is the fault of
the author, NOT the archivist.
6. I reserve the right to refuse to archive a story or to remove a story from the archive. I
will notify the author of my reasons for doing so.
7. I reserve the right to rate or re-rate any story in the archive. I will attempt to notify
authors if I do so.
8. If you read a piece of work in the archive and are offended, please contact me. If it's
due to the maturity of the writing I will most likely disregard the e-mail as there are
CLEAR warnings given to all who enter the archive AND stories with mature content are
labeled for the convenience of those who do not wish to read such stories. If you are
offended for any other reason, I will give your concerns my full and complete attention.
9. In the process of archiving stories I will be formatting them in to proper .TXT and
HTML format. This in no way obligates me to edit the stories. If an author wants their
story edited before submission, they should use a beta-reader and a spell checker. I don't
have the time to edit stories and will not be doing so any time in the future.
10. I reserve the right to change and add to this policies at will.
Fan Fiction Guidelines- The purpose of these guidelines is to make the process of
archiving easier for me and to assist visitors when viewing/reading a piece of work.
These are NOT requirements if you wish to post to the KAEX mailing list. If you wish to

First, I want to make some things clear. If you post, I'll archive it. As long as it doesn't
violate the Acceptable Use policy, of course. If I don't have all the required information,
I will do everything I can to gather it. The biggest problem I usually have with required
information is Archival Permission. I suggest reading the section Fan Fiction Archival
Permission.
Required Information:
1. Title: It is unlikely that a story sent will not include a title, so I would not worry about
this. If the story is "Untitled", it will be archived with that as the story title until the
author e-mails me with the new title.
2. Part/Chapter: Please try and number all parts/chapters of a multipart story. It's ok if
you use a letter system, but I generally prefer numbers.
3. Author: *I* need to know who you are so that I can keep track of all the stories you
write. I could care less if you give me your real name or a pen name. I just need to know
something. If you wish to remain anonymous to the outside world, then I will list the
author name as "Anonymous" when I post your work in the archive, but you must e-mail
me privately telling me so.
4. Email: This is essential for me. I need to have a way to contact you. The e-mail
address that I use to contact you should be one that you check regularly. The e-mail
address I put on the site for feedback purposes doesn't have to be the same one I use to
contact you. If you want to protect your privacy, then I suggest you sign up for a web-
based e-mail address at Hotmail or Yahoo and use that as your feedback e-mail address. I
won't put your e-mail address on the site if you don't want me to but you need to e-mail
me privately and tell me that
5. Disclaimer: There will be a blanket disclaimer on every page, but it is in your best
interest to make your own statement. Something as simple as "Relative Disclaimers" will
do, but I suggest a more detailed disclaimer that clearly indicates you have no intention of
infringing the copyrights or trademarks of WEP, Inc.
6. Rating: I only require that you rate your story if it is one that is R or NC-17. It's also a good idea to mention why you're giving a story a particular rating. If you're not sure
what the rating should be, I suggest being cautious. Or you could e-mail me privately and
I'll read it and give my opinion. For more information about the different ratings, please
see the Ratings Guidelines.
7. Archival Permission: I need it, plain and simple. I will not archive a story unless I have
clear indication that I may do so. Please see Fan Fiction Archival Permission for more
details.
***A note about the Required Info: Author name, e-mail address, and archival
permission are things that I will have on my computer in what I call "Author/Artist
Files". It's basically a file I have on each author/artist that lists their name, contact
address, feedback address, what type of permission they've given me, all stories/artwork
they have written/created, and any other information and instructions they may have
given me. The reason I say this is that the e-mail address, archival permission, and a lot
of other information is saved in this file and so that means you don't have to include it in
every story/piece.
Suggested Information: This is mostly information that will benefit your readers. I DO
NOT REQUIRE IT. I can't state that clearly enough.
1. Total Number of Parts/Chapters: I can usually figure this out on my own. Especially if
a story is finished and you've been numbering each one. But it is nice to know
beforehand.
2. Website: If you have a personal website where your story is already housed, feel free
to include the address of the site or any other site you maintain. If you mention it once,
you don't necessarily have to mention it again as I will have recorded it into my files.
3. Summary: A short summary or "teaser" of the current part or the story in general is
usually a nice addition.
4. Categories: A simple way to warn readers about the content of your story. I have some
guidelines on possible categories you could use, but feel free to make up your own.
5. Author Notes: Any special messages for reader's, thank you's, etc…
Fan Fiction Archival Permission- This is one of the requirements needed for placement
in the archive and since this is very important I have given it it's own section.
1. The easiest way to solve this is to simply e-mail me privately and tell me that I have
permission to archive all your stories. The same can also be done for denying me
permission to archive any of your stories.
2. If you don't e-mail me at all, then you must grant or deny me archive permission in the
first part of each new story you send. If there is no indication as to whether I have
permission or not, then I will e-mail you personally. This will cause a delay in archiving
your story.
3. If you had given me permission to archive your stories, but wish me to remove a
particular story or all your stories, you must e-mail me privately.
Fan Fiction Archiving Process- A basic outline of how I try to go about archiving
stories. Any questions, complaints, or suggestions may be e-mailed to me.
1. An author submits a new story/part/chapter/etc. to the KAEX mailing list, to myself
directly, or informs me that I may take the story from their site. I then place a copy of the
story into the "Processing" folder.
2. I determine if the story is submissible by one of two ways:
3. If a story isn't submissible, I will e-mail the author telling them so and explaining why.
4. If a story is submissible, I will then check to see if all requirements are met. I will do
this by checking my records on the author and reviewing the story for all necessary info.
5. If requirements are met, I then check to see if I might encounter any problems in
formatting the story.
6. If requirements are not met, I will check the formatting and then I will e-mail the
author requesting the needed information and possibly a new story if I find complications
in formatting. Once all needed information is gathered, I will place the story in the
"Format" file, format it, and upload it on the next update.
7. All stories that do not meet requirements will be placed in the "Processing" file
indefinitely.
8. All stories where archival permission is clearly denied will be place in the "Denied"
folder.
9. I will not e-mail authors about special formatting instructions, such as background
color, text color, or font size. If an author has special formatting requests, they must e-
mail me privately, giving me their name, the formatting instructions, and the stories they
apply to.
