Fan Art Archive Policies- My policies regarding the Fan Art submitted for the archive.

1. I am currently accepting submissions in three ways
2. Almost all artwork uploaded or sent to me by members of the list that are Voltron
related will automatically be considered "submissible" for archiving.
3. Artwork that will not be considered "submissible" to the archive under ANY
circumstances is artwork that violate my hosting provider's Acceptable Use Policy. I
have discussed the content of the archive with my provider and the material posted in the
archive to this date is not in violation of their Policy. What would be considered a
violation is art that is clearly pornographic. In the case of Fan Art, this means NO
depictions of sex scenes.
4. The speed in which your artwork is archived is dependent upon the amount of work I
must spend in gaining permission to archive the artwork and obtaining any other required
information needed for placement in the Archive. If I need to address any of these items
in detail, then there is no guarantee that the artwork will be archived in a timely manner.
5. I do guarantee to make every effort possible in assisting artists whose artwork does not
meet the requirements. Artwork that is never placed in the archive most likely violates
the Acceptable Use Policy or never managed to meet the requirements, which is the fault
of the artist, NOT me, the archivist.
6. I reserve the right to refuse to archive a piece of artwork or to remove a piece of artwrk
from the archive. I will notify the artist of my reasons for doing so.
7. I reserve the right to rate or re-rate any artwork in the archive. I will attempt to notify
artists if I do so.
8. If you view a piece of work in the archive and are offended, please contact me. If it's
due to the maturity of the artwork I will most likely disregard the e-mail as there are
CLEAR warnings given to all who enter the archive AND artwork with mature content is
labeled for the convenience of those who do not wish to view pieces that are adult in
nature. If you are offended for any other reason, I will give your concerns my full and
complete attention.
9. I reserve the right to change and add to these policies at will.
Fan Art Guidelines- The purpose of these guidelines is to make the process of archiving
easier for me and to assist visitors when viewing a piece of work. These are NOT
requirements if you wish to upload to the KAEX mailing list files. If you wish to know

First, I want to make some things clear. If you upload, I'll archive it. As long as it doesn't
violate the Acceptable Use policy, of course. If I don't have all the required information,
I will do everything I can to gather it. The biggest problem I usually have with required
information is Archival Permission. I suggest reading the section Fan Art Archival
Permission.
Required Information:
1. Title: It is unlikely that a piece that is uploaded will not include a title, so I would not
worry about this.
2. Artist: *I* need to know who you are so that I can keep track of all the artwork you
create. I could care less if you give me your real name or a pen name. I just need to know
something. If you wish to remain anonymous to the outside world, then I will list the
author name as "Anonymous" when I post your work in the archive, but you need to e-
mail me and tell me this.
3. Email: This is essential for me. I need to have a way to contact you. The e-mail
address that I use to contact you should be one that you check regularly. The e-mail
address I put on the site for feedback purposes doesn't necessarily have to be the same
one I use to contact you. If you want to protect your privacy, then I suggest you sign up
for a web-based e-mail address at Hotmail or Yahoo and use that as your feedback e-mail
address. I won't put your e-mail address on the site if you don't want me to but you need
to e-mail me privately and tell me that
4. Disclaimer: There will be a blanket disclaimer on every page, but it is in your best
interest to make your own statement. Something as simple as "Relative Disclaimers" will
do, but I suggest a more detailed disclaimer that clearly indicates you have no intention of
infringing the copyrights or trademarks of WEP, Inc.
5. Rating: I only require that you rate your artwork if it is one that is R or NC-17. It's also
a good idea to mention why you're giving a piece of artwork a particular rating. If you're
not sure what the rating should be, I suggest being cautious. Or you could e-mail me
privately and I'll look at it and give my opinion. Please see the Rating's Guidelines for
information about the different ratings.
6. Archival Permission: I need it, plain and simple. I will not archive a piece of artwork
unless I have clear indication that I may do so. Please see Fan Art Archival Permission
for more details.
***A note about the Required Info: Author name, e-mail address, and archival
permission are things that I will have on my computer in what I call "Author/Artist
Files". It's basically a file I have on each author/artist that lists their name, contact
address, feedback address, what type of permission they've given me, all stories/artwork
they have written/created, and any other information and instructions they may have
given me. The reason I say this is that the e-mail address, archival permission, and a lot
of other information is saved in this file and so that means you don't have to include it in
every story/piece.
Suggested Information: This is mostly information that will benefit your viewers. I DO
NOT REQUIRE IT. I can't state that clearly enough.
1. Website: If you have a personal website where your artwork is already housed, feel
free to include the address of the site or of anyother site you maintain. If you mention it
once, you don't necessarily have to mention it again as I will have recorded it into my
files.
2. Description: A description of the piece of art. You might also want to mention the
materials used
5. Categories: A simple way to warn viewers about the content of your artwork. I have
some guidelines on possible categories you could use, but feel free to make up your own.

Fan Art Archival Permission- This is one of the requirements needed for placement in
the archive and since this is very imporant I have given it it's own section.
1. The easiest way to solve this is to simply e-mail me privately and tell me that I have
permission to archive all your artwork. The same can also be done for denying me
permission to archive any of your artwork.
2. If you don't e-mail me at all, then you must grant or deny me archive permission in the
description of every piece you upload to the KAEX files. If there is no indication as to
whether I have permission or not, then I will e-mail you personally. This will delay the
archiving of your artwork.
3. If you had given me permission to archive your artwork, but wish me to remove a
particular piece or all your artwork, you must e-mail me privately.
Fan Art Archiving Process- A basic outline of how I will try to go about archiving
artwork. Any questions, complaints, or suggestions may be e-mailed to me.
1. An artist submits a new piece by uploading to the KAEX file or by e-mailing the piece
to myself directly, or informs me that I may take the story from their site. I then place a
copy of the piece into the "Processing" folder.
2. I determine if the artwork is submissible by looking at the rating (if provided) and
viewing the piece myself. I will make the final decision on the rating and inform the artist
of any changes I make to the rating.
3. If a piece isn't submissible, I will e-mail the artist telling them so and explaining why.
4. If a piece is submissible, I will then check to see if all requirements are met. I will do
this by checking my records on the artist and reviewing the piece description for all
necessary info.
5. If requirements are met, I make a thumbnail of the piece and place both in the artist's
folder and upload on the next update.
6. If requirements are not met, I will e-mail the artist requesting the needed information.
Once all needed information is gathered, I will create a thumbnail, place both in the
artist's folder and upload on the next update.
7. All artwork that does not meet requirements will be placed in the "Processing" file
indefinitely.
8. All artwork where archival permission is clearly denied will be place in the "Denied"
folder.
